Mobile App: Scheduling Follow-Up Appointments
If you've completed a job but a technician will need to return for additional work, the Sera Mobile App makes it simple to schedule a follow-up appointment directly from the job workflow.
When to Schedule a Follow-Up
You should schedule a follow-up appointment when:
- Additional work is needed (by yourself or another technician) that can't be completed during the current visit.
- Parts need to be ordered or a specialist is required.
- The customer requests a return appointment.
- There is a warranty call on the work completed.
How to Schedule a Follow-Up Appointment
Navigate to Job Summary
- Job Summary is the appointment hub where you can access Customer details, Photos, Equipment, Quotes, and more!
- Access the Job Summary from any screen by selecting the back arrow in the upper left hand corner of the screen.
Select the Schedule button and select Schedule from the header
- From the Schedule button, you can view all appointments for this job under the Appointments header, and schedule an Inspection Appointment or Follow-Up Appointment for this job under the Schedule header.
Tip: You will need at least one accepted quote to proceed with the workflow and open the Schedule option.
Tap Appointment and Enter Appointment Details
- Select the Service Category, Technician, and desired date and time.
- The Service Category dropdown will automatically populate the Duration but that but you can update that if you know the service will take longer than the entered duration.
- You can allow the Sera Auto Scheduler to decide the technician by leaving Auto Assign as the option from the Technician dropdown.
- The Technician list will be populated, by default, with only technicians who have that Service Category listed on their profile, but you can see the entire list of your technicians by selecting the toggle for Select from all technicians.
- Only available date and time combinations will be available for selection. If there are no available times for a day, the day will not be permitted to be selected from the slider. Five days are shown in the date selector tool at a time, but you can slide that over to see more dates.
Save the Follow-Up Appointment
- Tap Schedule to complete the process.
- The new appointment will be automatically scheduled and appropriate notifications to the office and the customer will be generated.
What Happens Next?
- The newly scheduled follow-up appointment will be tied to the original job and customer, keeping everything organized.
- All job history, quotes, photos, equipment, notes, etc will remain accessible.
Best Practices
- Be as detailed as possible in your notes on the job to avoid any miscommunication or rework.
